Description

The Executive Assistant will be a pivotal role in providing support for our CEO and other Executive leadership. The Executive Assistant will provide administrative support through problem solving with exceptional communication skills and meticulous attention for details. Acting as a direct support for the CEO and additional support for the Executive leadership, the EA will manage schedules and communications as well as tasks such as travel arrangements, expense management, calendar management, meeting coordination and more. All tasks and responsibilities will be addressed with the highest level of confidentiality and utmost discretion.

 

Responsibilities

* Support the CEO and Executive leadership team, to ensure that company goals and objectives are accomplished and that operations run efficiently * Organize and prepare for meetings, including drafting agendas, taking minutes, and tracking follow-up actions * Assistance is special requests from the CEO  * Provide administrative support such as managing calendars, scheduling appointments, arranging meetings, and organizing travel itineraries * Track and submit expense reports and reimbursements for the CEO and Executive Sales Leaders * Prepare, review, and manage executive correspondence, reports, presentations, and other documents * Assist with planning and executing strategic projects and initiatives, providing necessary administrative and logistical support * Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives * Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals * Maintain professionalism and strict confidentiality with all materials * Organize team communications and plan events, both internal and off-site

 

* Be adaptable and willing to take on new tasks or responsibilities as they arise * Maintain confidentiality and discretion regarding sensitive information pertaining to the employer, business, and personal matters * Plan and orchestrate work to ensure the CEO’s priorities are met, organizational goals are achieved, and best practices are upheld

 

Qualifications

* Proven experience as a personal assistant or similar role, preferably in a corporate or executive environment * Ability to multitask and prioritize tasks effectively * Attention to detail and accuracy in work * Two or more years of experience in an administrative role reporting directly to upper management * Excellent written and verbal communication skills * Strong time-management skills and an ability to organize and coordinate multiple concurrent projects * Proficiency with Google productivity tools and an aptitude for learning new software and systems * Flexible team player, willing to adapt to changes and unafraid of challenges * Ability to maintain confidentiality of information related to the company and its employees

 

* Self-motivated, disciplined professional able to function as a true business leader with a record of accomplishment in managing multiple complex tasks * Uphold excellent time management and organizational skills with an aptitude toward creative problem-solving * Excellent proficiency with English language: written, reporting, verbal/oral communication skills  * Proven troubleshooting skills * Maintain professionalism and an uninterrupted work environment during all client meetings and interactions * Excellent communications skills required – verbally with customers and all levels of the business, as well as written with technical assessments and project-related reports
